American Society for Microbiology

Accredited reporters may register for a press pass to access to the ASM Microbe 2023 press room and the online press room. 

To request Press Registration, contact the ASM Communications department by email at  communications@asmusa.org. If approved, you will receive registration instructions. Approved Press registrants will be required to show press credentials at the time of press badge pickup. 

All ASM Microbe abstracts will be embargoed until  May 15. Late breaker abstracts will be embargoed until  June 15. Some abstracts will be embargoed to coincide with the times they are presented at the meeting. Embargo times and dates will be clearly marked on all press releases. 

Additionally, press releases and other promotional activity by third parties must coincide with the date and time of the presentation. 

When asking for outside comment on press releases or news stories before the embargo has lifted, journalists are requested to ensure that the embargo is respected. ASM reserves the right to ban any journalist from the meeting who breaks the embargo or breaches the media policy in any other way.

Requirements for entry to ASM Microbe 2023 are subject to change based on ASM policies, governmental regulations, venue requirements or other mandates applicable to the meeting. Please visit our health and safety page for updates to the health and safety policies.

Cancellation of paid registration on or before May 25, 2023, will be refunded, minus $50.00 processing fee. Cancellation of paid registration on or after May 25, 2023, is non-refundable. Refunds will be issued following ASM Microbe by July 20, 2023. Registrants unable to attend due to medical restrictions may receive a full refund, with supporting documentation. ASM strongly recommends all participants purchase travel insurance as ASM is not responsible for cancellation fees related to transpiration, hotel or other travel related expenses. Beginning May 26, 2023, no refunds will be processed.

On or prior to May 25, 2023, attendees will receive a full refund minus a $50.00 processing fee. Refunds will be issued at the conclusion of ASM Microbe 2023 and by July 20, 2023. 

Cancellation Instructions  

All cancellations must be in writing and emailed to Microbe@maritz.com or received by  May 25, 2023, to:

Beginning  May 26, 2023, no refunds will be processed. 

Changing Your Registration Type

Individuals may change in-person registration to digital participation until May 25, 2023. Registration fees paid for in-person registration received by May 25 will be fully applied to digital registration. Any remaining balance between in-person and digital fees will be refunded if the request is received by May 25, 2023.

Guest Policy

Individuals may register their spouse, partner or child not working in a microbiology occupation or field on-site at the ASM Microbe registration center. Adult guests will require proof of identification, such as a driver’s license with the same last name or address as the primary registrant. Individuals must register as a guest and pay the appropriate registration fee. You may not register a colleague or associate working in a related scientific field or studying microbiology in school as a guest. 

Non-Exhibitor Suppliers  

Non-Exhibiting Suppliers are companies or organizations that provide services or products to the field of microbiology but do not exhibit at ASM Microbe. Non-Exhibiting Supplies must register at the rate designated for this category of participation. The purpose of this policy is to protect the vendors exhibiting and maintain the integrity of the exhibit hall. Non-Exhibiting Suppliers are prohibited from soliciting attendees to transact business at the meeting or in official hotels. Non-Exhibiting Suppliers who are observed to be soliciting business in the aisles or other public spaces will be removed from the meeting immediately. 

Child Policy and Childcare Registration

Children under the age of 18 may accompany registered attendees by completing an accompanied minor registration form on-site in Houston. Children are not permitted in the Exhibit and Poster Hall during move-in or move-out hours.   

Childcare Services 

ASM Microbe will offer childcare service at the George R. Brown Convention Center.

**The deadline to register for childcare is Monday, May 15, 2023. Reservations requested after this date will be confirmed based on availability. View childcare provider registration details.  

Substitutions are not permitted.
 

ASM strives to host inclusive and accessible events that enable all individuals to engage and participate fully. Pursuant to the Americans with Disabilities Act, if you require services or aids to participate fully in ASM Microbe 2023, please select the type(s) of service and indicate any specific needs during the registration process. ASM will assist with hearing, vision and mobility needs. 

Accommodation Reservations

​Some accommodation requests require advance notice to ensure that we have time to plan accordingly. To request one of the following accommodations, please complete the Accommodation Reservation Form by April 20, 2023:

• American Sign Language (ASL).
• Assisted Listening Device.
• Childcare.
• Mobility Accommodations.

To confirm services, individuals must officially register for the conference by May 9, 2023.

Reserving a Scooter at George R. Brown Convention Center 

ASM will provide electric scooters at no charge for registered attendees. Please indicate your need for a scooter during the registration process if you require one on-site. Scooters will be available for pick-up at the George R. Brown Convention Center. Scooters may not be taken off the property or used after hours. You must return them to the ASM Microbe registration desk at the end of each day. 

The Following Accommodations Will Be Available On-Site and Do Not Require a Reservation:

• Gender-Neutral Restrooms.
• Lactation Rooms.
• Prayer/Meditation Rooms.
• Session Captioning for On Demand Sessions (available for General Sessions and Symposia only).

The generous support provided by exhibitors is significant to the success of ASM Microbe 2023. The exhibiting company's goal in participating in ASM Microbe is to interact with the attendee and to provide the most current information on their products and services. Attendees mailing addresses will be made available to the exhibitors who wish to mail information. This list will only contain name, full address and affiliation (if provided). No phone numbers, fax numbers or email addresses will be included.
