Americans with Disabilities Act (ADA) and Accessibility Needs

ASM strives to host inclusive and accessible events that enable all individuals to engage and participate fully. Pursuant to the Americans with Disabilities Act, if you require services or aids to participate fully in 2024 ASM CVS, please select the type(s) of service and indicate any specific needs during the registration process. ASM will assist with hearing, vision and mobility needs.

The following accommodations will be available on-site and do not require reservations:

  • Gender-neutral restrooms.
  • Lactation rooms.
  • Prayer/meditation rooms.

Cancellations

ASM will refund registration fees, minus a $50 processing fee, to paid registrations who submit a cancellation request to registration@asmusa.org on or before Friday, Sept. 6, 2024. All refunds will be processed by Oct. 23, 2024 (after ASM CVS).

Substitutions 

There will be no substitutions. Registrants who cannot attend due to medical restrictions may receive full refunds with supporting documentation. ASM is not responsible for cancellation fees resulting from scheduling, transportation, hotel or other travel-related expenses. We strongly recommend that all participants purchase travel insurance.

Contact Information Release

The generous support provided by exhibitors is significant to the success of 2024 ASM CVS. The exhibiting company's goal in participating in ASM CVS is to interact with the attendee and provide the most current information on their products and services. Attendees' mailing addresses will be made available to the exhibitors who wish to mail information. This list will only contain name, full address and affiliation (if provided). No phone numbers, fax numbers or email addresses will be included.

Guest Policy

Individuals may register their spouse, partner or child not working in a microbiology occupation or field on-site at the ASM CVS registration center. Adult guests will require proof of identification, such as a driver’s license with the same last name or address as the primary registrant. Individuals must register as a guest and pay the appropriate registration fee. You may not register a colleague or associate working in a related scientific field or studying microbiology in school as a guest.

Non-Exhibitor Suppliers

Non-exhibiting suppliers are companies or organizations that provide services or products to the field of microbiology but do not exhibit at ASM CVS. Non-exhibiting supplies must register at the rate designated for this category of participation. The purpose of this policy is to protect the vendors exhibiting and maintain the integrity of the exhibit hall. Non-exhibiting suppliers are prohibited from soliciting attendees to transact business at the meeting or in official hotels. Non-exhibiting suppliers who are observed to be soliciting business in the aisles or other public spaces will be removed from the meeting immediately.

Child Policy

Children under the age of 18 may accompany registered attendees by completing an accompanied minor registration form on-site in Long Beach. Children are not permitted in the Exhibit and Poster Hall during move-in or move-out hours.  

Health and Safety

Requirements for entry 2024 ASM CVS are subject to change based on ASM policies, governmental regulations, venue requirements or other mandates applicable to the meeting. Please visit our health and safety page for updates to the health and safety policies.

Press Registration Details

Accredited reporters may register for a press pass to access the ASM CVS press room and the online press room. To request press registration, contact the ASM Communications Department at newsroom@asmusa.org. If approved, you will receive registration instructions. Approved press registrants will be required to show press credentials at the time of press badge pickup.

All ASM CVS abstracts will be embargoed until Sept. 9. In addition, some abstracts will be embargoed to coincide with the times they are presented at the meeting. Embargo times and dates will be marked on all press releases.

Additionally, press releases and other promotional activity by third parties must coincide with the date and time of the presentation.

When asking for outside comment on press releases or news stories before the embargo has lifted, journalists are requested to ensure that the embargo is respected. ASM reserves the right to ban any journalist from the meeting who breaks the embargo or breaches the media policy in any other way.

Media Disclaimer

Participants understand that photographs, recordings or videos may be taken during 2024 ASM CVS and grant ASM permission to use images and voices, which may be captured through video, photo or other media during participation in in-person or online activities, for ASM promotional materials and publications.
 
Participants acknowledge that COVID-19 is an infectious virus that spreads easily through person-to-person contact and may cause serious illness to individuals who are unvaccinated and/or have certain medical risk factors. Federal and state public health authorities and ASM have issued basic health and safety guidelines to mitigate the spread of the virus. Participants understand that attending ASM CVS may increase the risk of contracting COVID-19. ASM in no way warrants that the protective measures prescribed for the meeting will completely prevent exposure to the COVID-19 virus. Participants agree to follow all public health and safety guidelines to attend the meeting and freely and voluntarily assume the risk of COVID-19 exposure and infection.
